Privacy Policy

This policy explains, in plain English, what personal data Britwise collects when you use the Britwise app and website, why we collect it, who we share it with, and the rights you have over it. We've tried to keep it readable — if anything is unclear, email privacy@britwise.school.
1. Who we are
Britwise is operated by Britwise School Ltd, a company registered in England & Wales (Company No. 17253094, VAT GB 522 4716 10), registered office 71–75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom. We are registered with the UK Information Commissioner's Office (ICO reg. ZC174279). For privacy questions we are the data controller, which means we decide how and why your data is used.
2. What data we collect
We only collect what we need to run the service for you:
•
Account details — your email address, your name, and your date of birth. We use date of birth solely for age-gating (see “Children” below), not for advertising.
•
Learning profile — the language you're learning from, your CEFR level (A1–C2) and learning goals, so we can pitch lessons at the right level.
•
Learning data — your progress, lesson answers, scores, streaks and achievements, so your history and progress are saved across devices.
•
Voice data — when you use the speaking coach, we record short audio clips of your speech and generate a text transcript of them. This is what lets us give you pronunciation and fluency feedback.
•
Device & usage analytics — basic technical data such as device type, app version, crash reports and anonymous usage events (e.g. which lessons you complete), used to keep the app stable and improve it.
•
Payment data — if you subscribe, our payment providers handle your card details. We never see or store full card numbers (see “Who we share data with”).
3. Why we use your data (and our legal bases)
Under UK GDPR we must have a lawful basis for each use of your data. Ours are:
•
To provide the service (contract) — creating your account, saving progress, running the speaking coach, and processing your subscription. Without this data we can't deliver the app you signed up for.
•
To improve and secure the service (legitimate interests) — diagnosing crashes, preventing abuse, and understanding which features help learners. You can object to analytics at any time.
•
To meet legal obligations — e.g. keeping financial records for tax, and age-verification under UK law.
•
With your consent — for anything optional, such as marketing emails, which you can withdraw at any time.
We do not sell your personal data, and we do not use your voice recordings to train third-party AI models.
4. Who we share data with (our processors)
To run the app we use a small number of trusted service providers (“processors”) who handle data on our instructions only. They are:
•
Microsoft Azure OpenAI — generates the AI tutoring, feedback and conversation responses. We use UK/EU regional endpoints, and Microsoft does not use your content to train its foundation models.
•
ElevenLabs — text-to-speech, so the app can speak to you with natural voices.
•
Deepgram (EU) — speech-to-text, to transcribe your spoken answers for the speaking coach. Processed on EU infrastructure.
•
Stripe, and Apple / Google — payment processing. If you subscribe through the App Store or Google Play, Apple or Google process the payment; if you subscribe on the web, we use Stripe. These providers handle your card details directly — we only receive confirmation that a payment succeeded.
•
Hetzner (EU, Helsinki) — hosting and storage of your account and learning data, in EU data centres.
We keep an up-to-date list of sub-processors and will give notice before adding a materially new one.
5. How long we keep your data
•
Voice recordings — kept for up to around 90 days to power your feedback and let you review recent practice, then automatically deleted.
•
Transcripts & learning outcomes — kept for longer so your progress, level history and scores remain available to you over time.
•
Account data — kept until you delete your account, after which it is removed (allowing a short backup-expiry window), except where we must keep limited records by law (e.g. financial records).
6. Children
Britwise is not intended for children under 13. You must be at least 13 to create an account. Learners aged 13–15 are asked for a parent or guardian email so a verified adult can be reached for safeguarding. We design with the UK Children's Code (Age-Appropriate Design Code) in mind: we collect date of birth only to apply these age protections, we do not profile children for advertising, and we keep default settings privacy-protective for younger users. If you are under 13, please ask a parent or guardian to set up a family account instead.
7. Your rights
Under UK GDPR you have the right to:
•
access a copy of the personal data we hold about you;
•
have inaccurate data corrected;
•
have your data erased (“right to be forgotten”);
•
export your data in a portable format;
•
object to or restrict certain processing, and withdraw consent.
The fastest way to exercise these is in the app: go to You → Subscription & Data → Account, where you can export your data and use Delete my account to erase it. You can also email privacy@britwise.school. We respond within 30 days. If you're unhappy with how we handle your data, you can complain to the ICO at ico.org.uk.
8. International data transfers
Your account and learning data are stored in the EU/UK. Some processors may process limited data outside the UK/EEA. Where that happens, we rely on the UK International Data Transfer Agreement (IDTA) or the EU Standard Contractual Clauses to keep your data protected to UK/EU standards.
9. How we protect your data
We encrypt data in transit (TLS) and at rest, restrict staff access on a least-privilege basis, require multi-factor authentication for staff who can access personal data, and keep audit logs. No system is perfectly secure, but we take protecting your data seriously and will notify you and the ICO of any qualifying data breach as required by law.
10. Changes to this policy
We may update this policy from time to time. When we make material changes we'll update the “last updated” date above and, where appropriate, notify you in the app or by email.
